Dear Members of Ballarat Arts Alive, our Subscribers and Supporters

We are pleased to invite you to our Annual General meeting to be held on Thursday, 24 July at 7 pm at the Humffray Room Mechanics Institute 117-119 Sturt Street.
We have a guest speaker, Emma Barrance who initiated the Arts Forum “Activating and protecting our cultural heritage” held at the Art Gallery of Ballarat on July 22nd 2011, attended by 200 people. Ballarat Arts Alive emerged in response to discussions to make this region more active and vibrant.
The meeting will also include elections for Committee of Management (CoM) members, President and Financial Reports and Changes to the Rules as per below.
There are six vacancies to fill for a Committee of Management of at least six members. All BAA members are encouraged to give consideration to serving on the Committee of Management either in a specific role (President, Vice President, Treasurer or Secretary) or as a general member.

The Board of Management has identified the following changes to BAA Rules to avoid having to pay additional fees to Consumer Affairs when changing:
MOTION 1
- That the Rules relating to membership fees be changed to read:
“The membership and joining fees will be set at the Annual General Meetings.”

MOTION 2
- That the membership fees for 2014 – 2015 be set at $10.00 concession, $20.00 full membership; $100 corporate.

Changes to BAA Rules to comply with new Model Rules relating to inspection of records.
Please note that the personal details of the members will remain private.
MOTION 3
That
(1) Members may on request inspect free of charge—
(a) the register of members;
(b) the minutes of general meetings;
(c) subject to sub-rule
(2), the financial records, books, securities and any other relevant document of the Association, including minutes of Committee meetings.
(2) The Committee may refuse to permit a member to inspect records of the Association that relate to confidential, personal, employment, commercial or legal matters or where to do so may be prejudicial to the interests of the Association.
(3) The Committee must on request make copies of these rules available to members and applicants for membership free of charge.
(4) Subject to subrule (2), a member may make a copy of any of the other records of the Association referred to in this rule and the Association may charge a reasonable fee for provision of a copy of such a record.
(5) For purposes of this rule—
relevant documents means the records and other documents, however compiled, recorded or stored, that relate to the incorporation and management of the Association and includes the following—
(a) its membership records;
(b) its financial statements;
(c) its financial records;
(d) records and documents relating to transactions, dealings, business or property of the Association.
